If you install the Add-In TextFormat, the Cut Info and Notes
list will display only the records related to the current
address.
For each new cut it will track the Date of the cut, payment, The Start and End Times and Calculates the duration of the cut, among other useful information.
To create a new customer.
New Customer:
1. Open 'The Lawn Guy' database.
2. Select 'New Record'
3. Fill in the customers information.
This will be the page that contains the customers information and scheduling.
This information is only filled in once, usually when the customer first calls.
You will notice a 'Cut Info' and 'Notes' button at the bottom, this is where you keep this customers history of cuts.
Type in the customers 'First', 'Last', 'Addy', 'Street', 'Home', 'Cellular' fields.
There are several PopUp fields on this form. which open another database where you can select, add and delete records.
The following can be done on any PopUp field, although most of them are pre-populated with common entries you may find useful.
i.e. - If you tap on the 'City' popup, the 'City' database pops up.
If the City you want is already there, just tap on it and you will be taken back to the 'Customer Info' form with the 'City' field populated with your selection.
If the City you want is not there already, you can select 'New Record'.
This will allow you to Add another City, we will use Los Angeles in this example:
Enter LA in the 'CT' field, this is what will show on the main databasse screen and help to sort and keep customers grouped together so you don't leave the area and have to come back for a cut you forgot in that area.
Then you enter Los Angeles in the 'City' field,
Click 'OK' to save.
Now tap on one of the records and you will be taken back to the 'Customer Info' form with the 'City' field populated with your selection.
Do this again for the 'Area' and 'Zip' fields, populating each with items related to your location.
Area:
This field is for your convenience.
Since cities can be large, the area filed helps to group
customers who are in the same section on the city.
By that I mean, lets use the city named Tyler and you have seven
customers in Tyler.
Four of your customers are on one side of the city and three are
on the other side of the city.
When you open 'The Lawn Guy', you will see all the customers in
Tyler for that day, but they will all be lumped together.
Here is where you use the 'Area' option to put them in smaller
groups.
You make these 'Area' groups yourself as they are merely
something that you use to remember the customers location in the
city such as:
Fire Station - Use something like this if they are located near
the Fire Station
High School - If they are near a High School
Heritage Heights - Use the name of the housing tract if you have
several in the same tract.
WalMart - If they are near a WalMart
The Lake - If they are by a lake.
again, you make these up depending on what will remind you as to
there location in the city and to group them together on the
main page of 'The Lawn Guy'.
This will keep you from leaving the area only to find out there
was another customer in that area and you have to drive all the
way back across town again.
Where:
This is where you will show where the customer will have the
payment.
If you have customers leave the payment, it will save you a lot
of time throughout the day not having to knock doors and wait on
customers to pay for your services.
I.E.:
Front Mat - The payment will be under the front door mat
Back Mat - The payment will be under the back door mat
Invoice - The customer would like to pay by invoice.
again, you make these up depending on what will remind you as to
how to expect the payment.
Frequency:
If someone wants there yard cut every other week, you would
select Bi-Weely-1 or Bi-Weekly=2.
In order to accommodate for Bi=Weekly cut you need to operate on
a Week-1 and Week-2 basis.
The first week you start cutting for the season will be week-1
where you would select from the 'View' drop down as you cut
throughout the week as follows:
Sunday-1
Monday-1
Tuesday-1
Etc. for each day you cut that week, respectively.
The second week will be Week-2
where you would select from the 'View' drop down as you cut
throughout the week as follows:
Sunday-2
Monday-2
Tuesday-2
Etc. for each day you cut that week, respectively.
This will force all Weekly cuts to show up on both the
Bi-Weekly-1 views as well as the Bi-Weekly-2 views.
Any cuts you have as Bi-Weekly-1 will only appear when you
select the views ending with a 1 and any cuts you have as
Bi-Weekly-2 will only appear when you select the views ending
with a 2.
If you have to skip a week due to weather, illness or something,
all you have to do is open that customers Info form and change
the 'Frequency' to the other Bi-Weekly option, now they will
automatically show up on the opposite week.
Fill in as many fields as you can, you can always come back
later and add or modify the information.
4. Tap 'OK' in the upper left-hand corner.
There is no menu option to leave a form.
